Job Description

A critical piece to servicing our incredible clients, project coordinators work alongside account managers, helping move projects forward internally among Firespring’s teams. Project coordinators work directly with the project trafficker to ensure projects are on time, on target and on budget. These detail-loving humans also participate in client meetings to ensure everything is documented and Firespring and our clients are set up for success.

Tasks & Responsibilities

  • Manage and coordinate tasks within project management tools.
  • Create and maintain comprehensive client documentation and files within Firespring’s file management system.
  • Assure projects are on time, on target and on budget.
  • Support account management team on all projects.
  • Create project estimates and manage job data within Firespring’s project management and CRM tools.
  • Take meeting notes and send summarized recaps to all meeting attendees with action steps.
  • Research and summarize competitor information or other information related to an account.
  • Ensure billing is accurate for each project and job.
  • Keep project timelines and tasks updated.
  • Route client revisions and/or requests to the build team.
  • Confirm all creative change requests have been made by the build team prior to sending to clients.
  • Schedule meetings (internal and external).

Qualifications

  • 1–2 years of experience in a marketing role (internships included).
  • Bachelor’s degree or equivalent degree in marketing or associated field preferred but not required.
  • Project management experience.
  • Highly detail-oriented.
  • Sharp communication and interpersonal skills.
  • Not afraid to push team members to execute on timelines and tasks.
  • Flexible and adaptable to change.
  • Thrive in a fast-paced environment.
  • Ability to coordinate many ongoing projects simultaneously.
  • Self-motivated with a strong work ethic.
  • Able to find efficiencies and better solutions to processes.
